What kind of event are you planning?

Audience size matters, but the bigger driver is the experience you want to create. A briefing where the only goal is to get information across needs far less than an evening that should leave people talking about it for weeks.

1. Information-first events

Seminars, press briefings and training days. The essentials are speaker microphones, sound, a presentation laptop, a confidence monitor and a projection surface or LED screen. Many venues have some in-house equipment, and a good supplier will use what works and bring the rest.

Typical cost: €1,500 to €3,500 for 50 to 100 people, €2,000 to €5,000 for around 200 people.

2. Experience-driven corporate events

Conferences with a keynote programme, product launches, award galas and staff parties with a band. On top of the basics you add branded ambient lighting, show lighting, a stage, screens in the foyer and often a live stream or hybrid audience. A team of technicians and a producer run the day.

Typical cost: €4,000 to €12,000 for a 200 to 500 person conference, €7,000 to €18,000 if it is streamed, and €10,000 to €30,000 for a gala or show-driven event.

3. Public events and festivals

Concerts, festivals and arena events carry the most risk and usually take place where there is little infrastructure: ice halls, sports fields, open-air sites. Power, rigging and everything else has to be brought in.

Typical cost: at least €10 per attendee for events over 1,000 people, and €15,000 to €50,000 or more for a festival main stage.

What drives the price

• Equipment: sound, microphones, lighting, screens, stages and cabling.
• Technician hours: setup, running the event and teardown. A long show day or a build the day before adds hours.
• Logistics: transport, loading and unloading at the venue.
• Planning: sizing the system to the room and programme, and coordinating with the venue.

When you compare quotes, check whether technicians and logistics are included. Equipment-only rental looks cheaper on paper, but then someone on your side is responsible for making it work.

Example: what does an LED screen cost?

For an LED screen, a good starting point is about €200 plus VAT per square metre. A 3.5 x 2 m screen comes to roughly €1,400 plus VAT, and a 5 x 3 m screen roughly €3,000 plus VAT. LED screens stay bright in daylight, so they often replace projectors at larger events.
