Varha reached out to Next Live regarding the technical production of their upcoming event — they were looking for a reliable partner with a proven track record in delivering high-profile corporate events. The priority was that everything would run smoothly during the event, with no technical hiccups. The scope required broad technical expertise, as we handled the presentation technology, audio, and video recording. On top of that, we managed the registration process for over 200 attendees and took care of the lobby décor according to the client's wishes.

Registration

Pre-registration is important for an event like this, where the number of spots is limited. We handled the event registration and check-in process in two languages, Finnish and Swedish. Every attendee received a pre-printed name badge showing their name, organisation, and title.

Technology

The area where we shine! During the event, we made sure speakers came through clearly, presentation materials ran without a hitch, and that the event was captured in high-quality video. There were several moments during the event where things could have gone sideways — but our experienced team handled them better than well:

• Last-minute changes to presentation materials
• A live Mentimeter poll shown to the audience, with results that needed to appear at exactly the right moment
• A visiting keynote speaker (Klaus Härö) who wanted to present from his own laptop — with videos included in the slides
• The venue's PA system turned out not to support external audio input, contrary to prior information — but we had a backup system ready. Not something you can take for granted!

We always approach technical production with this mindset: we're prepared for (almost) anything, because events will always throw surprises your way. We're responsible for making sure the technology works — an unexpected audio failure is no excuse for an event falling apart. We've seen a lot over the years and know how to stay one step ahead.

Décor

The lobby was dressed to reflect Varha's brand, just as the client had envisioned. We used a long violet exhibition carpet, balloons, and coloured lighting. In the client's own words, attendees felt like they were "Alice in Wonderland" — that's how striking the space ended up looking!

The production included:

• Microphones, PA system, and audio technology for the seminar
• Presentation management, speaker clicker, confidence monitor, and presentation computers
• Full event recording and delivery of finished videos to the client
• Registration management and personalised name badges for all attendees
• Lobby décor: branded carpet, coloured lighting, and balloons
